Email Policy

Exactly which emails Outwire sends, who gets them, and how to stop the ones that are optional.
1. Transactional email only
Outwire sends only transactional email, through Amazon SES from the outwire.co domain. It does not send marketing, bulk, purchased-list or unsolicited email through its own infrastructure. Agencies' outreach runs in their own third-party tools under their own accounts and is covered by the Acceptable Use Policy.
2. The emails Outwire sends
| Who receives it | Opt-out | |
|---|---|---|
| Sign-up confirmation, password reset and sign-in links | The person signing up or signing in | Required for the account |
| Team and client portal invites | A person an account admin invites by email | Sent once per invite |
| Account notifications (for example replies waiting over 8 hours, renewal packs, a test of an automation you run) | The account's own users | Required for the account |
| Weekly reports the agency scheduled | The agency's client contacts marked to receive reports | Unsubscribe link in each email; the agency can also switch it off |
| New lead alerts the agency set up | The agency's client contacts marked to receive lead alerts | Unsubscribe link in each email; the agency can also switch it off |
| Onboarding form links and reminders | The agency's client contacts, when the client has no Slack channel connected | At most three reminders, which stop when the form is submitted |
| A proposal, and one reminder if it is unopened after 3 days | One named recipient a signed-in user chooses | Sent only when a user sends that proposal |
3. Who receives Outwire email
Recipients are an account's own users, the client contacts the agency added for its own clients, people invited to the account, and the single named recipient of a proposal a user sends. Outwire never emails the prospects and leads in an agency's campaigns. Proposals and reports carry the agency's name, and replies go to the agency.
4. Unsubscribing and opting out
- Weekly reports and new lead alerts include a personal unsubscribe link. One click shows a confirmation, and confirming switches that email off for that address straight away. It is recorded in the agency's audit log.
- Agencies can switch reports and lead alerts on or off for each client contact in the client's settings, and turn weekly reports off for a client entirely.
- Account emails (sign-in, security and billing notices) are needed to run the account and cannot be switched off while you have one. For any other email you no longer want, contact the agency that added you or support@outwire.co.
5. Bounces and complaints
Every email Outwire sends goes through an Amazon SES configuration set that suppresses addresses automatically after a hard bounce or a spam complaint, so they are not emailed again. We monitor bounce and complaint rates and are alerted well below the levels Amazon reviews.
6. How to recognise our email
Outwire email comes from the outwire.co domain, which is authenticated with DKIM. Notifications, reports, reminders and proposals end with "Outwire, a product of Voizor" and a link to this policy. We never ask for your password by email.
7. Reporting abuse
If you received an email from Outwire you did not expect or want, forward it to abuse@outwire.co. We investigate every report and act under the Acceptable Use Policy.
